Florida has a lot of IT providers and a lot of small businesses that have been burned by one. The common complaints we hear are a contract that is hard to leave, a bill that grows every quarter, and a provider who never explained what the business was actually required to do. We are a cybersecurity-first managed IT provider for companies with roughly 1 to 100 employees, and we already work with Florida clients. Here is how that works, including the parts that are not a fit.

## How we deliver support in Florida

Florida support is remote. We do not have a Florida office. Our headquarters is in Tyngsboro, Massachusetts, and our other office is in the Richmond, Virginia area.

For most small businesses in Florida, that matters less than it sounds. Medical practices in Tampa, law firms in Orlando, and contractors in Jacksonville mostly run on Microsoft 365, cloud applications, and laptops. Supporting that is network work: [remote monitoring and management](https://www.rnits.com/services/remote-monitoring-management), endpoint detection and response, [Microsoft 365 administration](https://www.rnits.com/services/microsoft-365-managed-services), patching, backup checks, and the helpdesk your staff call when something breaks.

Physical work is the limit. Running cable, replacing a failed firewall, or setting up a new office needs a person in the room. We quote that as a planned trip or help you find a vetted local technician, and we say which before the work starts.

## Hurricane season is a backup question

A storm that floods an office or knocks out power for a week is a disaster for any business whose files sit on a server in that office. We push Florida clients toward [cloud backup](https://www.rnits.com/services/cloud-backup-solutions) that is stored outside the state and tested by actually restoring from it, not just by checking that the job ran. For businesses still running an office server, [cloud migration](https://www.rnits.com/services/cloud-migration-services) or a [hybrid cloud](https://www.rnits.com/services/hybrid-cloud-solutions) setup takes the building out of the recovery plan. Staff can work from anywhere with power and internet while the office is closed.

## What the first 48 hours looks like

We onboard remotely. We need one person on your side who can approve admin access and, on a few machines, run an installer we send.

- **Hours 0–4.** Inventory of laptops, servers, network gear, your Microsoft 365 or Google tenant, key applications, and who holds admin credentials.
- **Hours 4–12.** Monitoring and endpoint protection go out. This usually turns up a few problems nobody had noticed, like an old admin account belonging to someone who left.
- **Hours 12–24.** Security baseline: MFA enforced, admin accounts separated from everyday accounts, and backups checked for what they actually contain.
- **Hours 24–48.** Documentation goes into our platform, your team gets the helpdesk path, and you get a prioritized list of findings.

## What Florida law actually requires

Florida is one of the states where a data-security statute does reach small businesses, so this section is less reassuring than our pages for some other states.

- **Reasonable security, at any size.** The Florida Information Protection Act, Fla. Stat. § 501.171, applies to any commercial entity holding personal information about people in Florida, from a sole proprietor up. It requires "reasonable measures" to protect that data.
- **30-day breach notice.** Affected individuals must generally be notified within 30 days of determining that a breach occurred, or of having reason to believe one did. You can skip individual notice only if a documented investigation finds no likely identity theft or financial harm, and that finding goes to the Attorney General.
- **The Attorney General at 500.** If 500 or more Floridians are affected, the Attorney General must be notified within 30 days.
- **Your vendors are covered too.** A service provider holding data for you must tell you about a breach within 10 days, and you remain responsible for the notice.
- **Disposal.** Customer records you no longer need must be shredded, erased, or made unreadable.
- **Enforcement.** The statute is enforced by the Attorney General, not by private lawsuits, with fines that grow the longer notice is late.

The Florida Digital Bill of Rights gets a lot of attention, but its main duties apply only to companies with more than $1 billion in revenue that run large ad, voice-assistant, or app-store businesses. The one part that reaches smaller firms covers selling sensitive personal data. Most of our clients do not sell any.

Industry rules apply on top of that:

- **Medical and dental practices.** [HIPAA](https://www.rnits.com/services/hipaa-compliance-services). Following HIPAA's notification process can also satisfy Florida's notice to individuals, provided you send a copy to the Attorney General.
- **Tax preparers, mortgage brokers, and other non-bank financial firms.** The FTC Safeguards Rule.
- **Anyone taking cards.** [PCI DSS](https://www.rnits.com/services/pci-dss-compliance-services), through your card processor contract.
- **Firms facing customer security questionnaires.** [SOC 2](https://www.rnits.com/services/soc-1-soc-2-compliance-services) readiness, usually a sales requirement rather than a legal one.

If you need a written security program, which is the clearest way to show "reasonable measures," our [vCISO service](https://www.rnits.com/services/vciso) writes it and keeps it current.

## Pricing

Standard $100, Premium $125, Enterprise $150 per user per month. Security, monitoring, and helpdesk are in every tier, not sold as add-ons. Florida clients pay what our New England clients pay. No out-of-state surcharge, no long-term lock-in, and onboarding in 24-48 hours.

## When we are not the right fit

- **You need a technician on site every week.** Retail with many registers, a busy warehouse network, or older hardware that fails often is a job for a Florida-based provider.
- **You want same-hour onsite response after a storm.** We can restore systems and get your staff working remotely, but we cannot send someone to your building.
- **Your needs are very simple.** A few people on laptops may need less than a full plan, and we will tell you so.
- **Price is the only criterion.** Lower quotes usually leave out monitoring or security. We would rather lose the deal than match one by cutting those.

## FAQ

### Can RNITS come onsite in Florida?

Not as part of normal support. Our Florida service is remote. Our offices are in Tyngsboro, Massachusetts and the Richmond, Virginia area, so a site visit in Florida is a planned trip, quoted up front, or a vetted local technician we help you line up. Almost everything else, including monitoring, security, Microsoft 365, backups, and helpdesk, happens over the network, as it would with most providers.

### Does the Florida Information Protection Act apply to a small business?

Yes. Florida Statutes § 501.171 has no size floor. If your business holds personal information about people in Florida, such as a name with a Social Security number, a driver's license number, financial account details, medical or health insurance information, or an email address with its password, you are required to take reasonable measures to protect it. This is one of the state laws that genuinely applies to a ten-person office.

### What does Florida require after a data breach?

You generally must notify affected Floridians within 30 days of determining that a breach occurred, or of having reason to believe one did. The exception is a documented investigation, shared with the Attorney General, that finds no likely identity theft or financial harm. If 500 or more Floridians are affected, you must also notify the Florida Attorney General within 30 days. More than 1,000 affected people also means notifying the credit bureaus. If your IT provider is the one that discovers the breach, Florida gives it 10 days to tell you, but the notice deadline remains yours. Only the Attorney General enforces the statute, and the fines are real.

### Does the Florida Digital Bill of Rights apply to us?

Its main obligations almost certainly do not. They apply to companies with more than $1 billion in global revenue that also run large ad, voice-assistant, or app-store businesses. One provision is broader: any for-profit business in Florida that sells sensitive personal data needs consent first and has to post a specific notice. If you do not sell sensitive data, you are not affected by it.

### What does managed IT cost for a Florida business?

Standard $100, Premium $125, Enterprise $150 per user per month, all-inclusive. It is the same published rate we charge everywhere, with no out-of-state surcharge and no long-term lock-in. Onboarding runs 24-48 hours.

### We are in the Panhandle. Does the time zone matter?

A little. Most of Florida is on Eastern time, matching our 8:00am-6:00pm helpdesk window. West of the Apalachicola River, Pensacola and Panama City are on Central time, so our window runs 7:00am-5:00pm for you. Monitoring runs around the clock either way.
